User Guide for Timeline Status and Timeline Days

ShopXpert AppShopXpert Support Team3 min readUpdated Nov 4, 2026

Purpose

This guide explains how the system fills the Timeline Status and Timeline Days fields for each job line. The goal is to help users understand why a job appears On Track, At Risk, Late, or blank, and how the number of remaining days is calculated.

What These Fields Mean

Timeline Status: shows the schedule condition of the job line. Depending on the data available, it can be On Track, At Risk, Late, or blank.

Timeline Days: shows the number of calendar days between the job due date and the date the system uses for comparison.

General Rules

1. Dates are compared by date only. Time of day is ignored.

2. A linked completed shipment means the most recent completed SO shipment connected to the job line.

3. If the due date is missing, Timeline Status stays blank and Timeline Days is 0.

How the System Decides the Result

Scenario 1: No stages exist for the job line

If there is at least one completed linked shipment, the system uses the most recent shipment Complete Date.

If the most recent completed shipment date is on or before the due date:

– Timeline Status = On Track

– Timeline Days = Due Date – Most Recent Shipment Complete Date

If the most recent completed shipment date is after the due date:

– Timeline Status = Late

– Timeline Days = Due Date – Most Recent Shipment Complete Date

If there are no completed linked shipments, the system compares today to the due date

If today is on or before the due date:

– Timeline Status = On Track

– Timeline Days = Due Date – Today

If today is after the due date:

– Timeline Status = Late

– Timeline Days = Due Date – Today

Scenario 2: At least one open stage exists

The system looks at the last open stage, meaning the last stage with status Not Started or In Progress.

Timeline Days is always calculated as Due Date – Today.

If the open stage Finish Date is on or before the due date and today is still on or before the due date:

– Timeline Status = On Track

If the open stage Finish Date is after the due date but today is still on or before the due date:

– Timeline Status = At Risk

If today is already after the due date:

– Timeline Status = Late

Important note: if the open stage Finish Date is missing, the system cannot determine the status, so Timeline Status stays blank and Timeline Days is 0.

Scenario 3: Stages exist, but no open stages remain

This usually means the stages are completed, cancelled, or otherwise closed.

The system first looks for the most recent completed stage date.

If a completed linked shipment exists, that shipment complete date takes priority over the completed stage date when calculating completion timing.

In this situation, Timeline Days = Due Date – Effective Completed Date.

The Effective Completed Date is:

– The most recent completed shipment date, if one exists

– Otherwise, the most recent completed stage date

If the Effective Completed Date is on or before the due date:

– Timeline Status = On Track

If the Effective Completed Date is after the due date:

– Timeline Status = Late

When the Fields Can Be Blank

Timeline Status may be blank when the system does not have enough information to decide the schedule condition. Typical reasons are:

– The due date is missing.

– An open stage exists, but its Finish Date is missing.

– Stages exist, all are closed, but there is no completed stage date and no completed shipment date to use.

Quick Summary

·         No stages: use the most recent completed shipment if available; otherwise use today.

·         Open stage exists: use the last open stage for status, and use today for remaining days.

·         All stages closed: use the shipment completion date first if available, otherwise use the last completed stage date.
